What is a Delegate?

Delegates are employees who are allowed to perform work on behalf of other employees.

 

How do I add a delegate to my profile?

You can only add delegates to your own profile.

You cannot add yourself as a delegate on another users profile, but you can view and delete whom you are a delegate for. 

 

To add a Request Delegate to your profile:

  1. Login to Concur
  2. Go to Profile
  3. Select Profile Settings
  4. Select Request Delegates on the left side menu
  5. Click Add to search for and select your desired delegate
  6. Select the desired and applicable permissions for your delegate
    • Permissions can include access to: prepare requests, view receipts, receive emails, submit requests, and approve (if applicable)
  7. Click Save
    • These steps may be repeated to add new delegates to your profile

 

To add an Expense Delegate to your profile:

  1. Login to Concur
  2. Go to Profile
  3. Select Profile Settings
  4. Select Request Delegates on the left side menu
  5. Click Add to search for and select your desired delegate
  6. Select the desired and applicable permissions for your delegate
    • Permissions can include access to: prepare requests, view receipts, receive emails, submit requests, and approve (if applicable)
  7. Click Save
    • These steps may be repeated to add new delegates to your profile

Important Reminders:

  • Delegates can prepare on behalf of users, but the State requires that travelers submit their own reports.
  • Delegates must have the approver role to approve on behalf of a user.
    • The Travel Office is able to assist if an approver role is needed.

 

How do I remove a delegate on my profile?

You can remove delegates from your own profile.

You can remove yourself as a delegate on another users profile.

 

To remove a Request Delegate from your profile:
  1. Login to Concur
  2. Go to Profile
  3. Select Profile Settings
  4. Select Request Delegates on the left side menu
  5. Select the delegate you'd like to remove by checking the box next to their name
  6. Click Delete to remove the delegate from your profile
  7. Click Save
    • These steps may be repeated to remove additional delegates from your profile

 

To remove an Expense Delegate from your profile:
  1. Login to Concur
  2. Go to Profile
  3. Select Profile Settings
  4. Select Expense Delegates on the left side menu
  5. Select the delegate you'd like to remove by checking the box next to their name
  6. Click Delete to remove the delegate from your profile
  7. Click Save
    • These steps may be repeated to remove additional delegates from your profile

 

How do I remove myself as a delegate for another user?

You can remove delegates from your own profile.

You can remove yourself as a delegate on another users profile.
 
To remove yourself as a Request Delegate for another user:
  1. Login to Concur
  2. Go to Profile
  3. Select Profile Settings
  4. Select Request Delegates on the left side menu
  5. Select the Delegates For tab
  6. Select the user that you'd like to remove your delegate access for by selecting the box next to their name
  7. Click Delete to remove yourself as a delegate from the users profile
  8. Click Save
    • These steps may be repeated to remove your delegate access from additional user profiles

 

To remove yourself as an Expense Delegate for another user:
  1. Login to Concur
  2. Go to Profile
  3. Select Profile Settings
  4. Select Expense Delegates on the left side menu
  5. Select the Delegates For tab
  6. Select the user that you'd like to remove your delegate access for by selecting the box next to their name
  7. Click Delete to remove yourself as a delegate from the users profile
  8. Click Save
    • These steps may be repeated to remove your delegate access from additional user profiles

 

Can a delegate approve on behalf of another user?

Yes a delegate can approve on behalf of another user, however the delegate must have the approver role assigned to them in their Concur profile. 

 

Delegates can have approval permissions for either:

  • An indefinite amount of time
    • Until the permission is revoked/removed by the user or delegate
  • For a specified time frame set by the user

 

Can delegates prepare and submit travel for a user?

  • Delegates are able to prepare Expense Reports for a user. 
  • Delegates are NOT able to submit Expense Reports for a user.
    • The State of Texas requires that users submit their own Expense Reports.

Once a delegate prepares an expense report for a user, they will need to select the option to notify the traveler. This will prompt the traveler to review the expense report and submit it once it is complete.

 

Can delegates receive emails for users they delegate for?

Yes, there are various permissions that you can select per delegate within your Request Delegates and Expense Delegates settings in your Concur profile.

By default, delegates will not receive emails related to another users travel requests and expense reports. 

 

To allow your Request Delegates to receive email notifications:

  1. Login to Concur
  2. Go to Profile
  3. Select Profile Settings
  4. Select Request Delegates on the left side menu to see your assigned delegates
  5. Check the box in the Receives Emails column for each delegate you'd like to receive emails related to your requests
  6. Click Save

 

To allow your Expense Delegates to receive email notifications:

  1. Login to Concur
  2. Go to Profile
  3. Select Profile Settings
  4. Select Expense Delegates on the left side menu to see your assigned delegates
  5. Check the box in the Receives Emails column for each delegate you'd like to receive emails related to your expense reports
  6. Click Save

 

Can delegates use the Concur Mobile App to prepare a user's travel?

No, delegates only have the ability to act on behalf of another user through the Concur website on a computer. 

Delegates are not permitted to act on behalf of another user on the Concur Mobile App.
