Technical Compliance Review
Before purchasing or renewing software, hardware, or other electronic information resources (EIRs), employees must submit an Electronic Accessibility and Security Review ticket. This initiates a multi-layer review and assessment of the product's accessibility and security to ensure compliance with state and federal requirements. *Note: This also includes free software and web-based services.
This yearly assessment of EIRs used on campus help support SFA's commitment to providing accessible and secure technology to all users.

Helpful Documentation
To assist with the review, please include available vendor documentation with your request. Examples include:
- Accessibility documentation: VPAT or ACR
- Security documentation: HECVAT or SOC 2 Report
If documentation is not provided, the review team may need additional time to obtain the information from the vendor or trust portal before completing the assessment.
Products with AI Features
Products that include artificial intelligences (AI) may require additional documentation and review to comply with TAC 219. Because of these additional requirements, reviews for AI-related products may take longer to complete.
- Important Note: Using a general-purpose AI tool (such as a free or consumer-tier AI chat bot) to process content involving student records, employee data, or other sensitive university information is prohibited without prior review and approval. Contact the Office of Information Security before using any AI tool for university work.
