Provide ongoing documentation and communication throughout the project, acting as a facilitator using proven Project Management methodologies.

 

Needs Requirements Analysis

Conduct a detailed needs analysis with the sponsoring department to identify business requirements, assess whether software is the best solution, and explore cost and time-saving alternatives.

 

Vendor Analysis

Perform vendor analysis, including the use of the ITS vendor survey developed by the PMO, to ensure compliance, match solutions to the department's needs and budget, and align with procurement practices.

 

Streamlined Procurement Process

Manage the procurement process by negotiating prices and terms with vendors, gathering and organizing required documentation, coordinating with legal on change requests, updating stakeholders on progress, and securely storing agreement documentation.

 

Vendor Access Compliance

Provide necessary documentation for ITS access compliance for selected vendors.

 

Project Kickoff Coordination

Initiate and coordinate a kickoff meeting to align all SFA and vendor resources with project goals, plans, needs, and expectations.

 

Project-Level Planning

Coordinate resource planning across ITS and other involved departments, ensuring effective resource allocation.

 

Risk Analysis & Management

Identify and assess potential risks (both positive and negative), develop strategies to manage risks, and troubleshoot solutions to mitigate negative impacts on the project.

 

Weekly Meeting Facilitation

Facilitate weekly meetings with pre-meeting agendas, task identification, deadlines, status updates, and post-meeting notes, ensuring focused discussions and informed decision-making.

 

Resource Management

Manage resource allocation for ITS and the sponsor or team department, ensuring optimal involvement and productivity.

 

Budget Management

Oversee and manage the project budget, ensuring resources are allocated efficiently and costs are kept within limits.

 

Quality Assurance

Implement quality assurance processes to ensure the final product meets the highest standards.

 

Vendor Mediation

Act as an intermediary between the vendor and the department, ensuring smooth communication and resolution of any issues.

 

Departmental Practices Review

Review and analyze departmental practices in relation to the new software solution, ensuring seamless integration with existing workflows.

Training Facilitation

Recommend best practices for training, schedule and manage training sessions, record attendance, survey participants, assist with training materials, and transition sponsor department members into software trainers.

 

Lessons Learned Documentation

Document lessons learned throughout the project, logging insights with the team and adding them to the PMO repository for future projects.

 

Project Closeout & Transition to Operations

Ensure a smooth project closeout and handover to Operations, providing a clear map of ongoing responsibilities and how departments can seek future assistance.
